    What happens next

Step 0

Before you start

Three things to have ready, and two to set up once.

Your news

A sentence or two on what's happening, and the facts that matter: dates, prices, places, links.

Your list

Pasted, or a CSV or Excel file with a header row. For personal emails, add a Notes column.

Your email account

The address you send from: Gmail, Outlook, Yahoo, Hostinger or any mail server.

  1. 1

    Create your account

Sign up with your email or with Google. We email you a sign-in code, so there's no password to remember.

  2. 2

    Get some credits

Choose a package. The Trial pack gives you 2 emails for Rs 299 to try it. There's no subscription, and credits never expire.

One credit writes one email, of type A or B, or covers 10 personal emails of type C.

Type A

The same email to everyone

One clear email for your whole list. Open EmailCurator and choose Same email to everyone.

  1. 1

Say what the email is about

Under What's the email about, pick the Kind of email (an announcement, an offer, an invitation and so on), and write your news in a sentence or two.

  2. 2

    Add the key facts

In Key facts, add the details that must be exactly right: dates, times, prices, addresses, links. The email uses only these.

If a fact isn't in your notes, it won't be in the email.

  3. 3

Choose who it's for and the style

Under Who it's for choose your readers, and under Style the tone and the length.

  4. 4

Add a subject and signature, if you like

Under Subject and signature, a subject you write is kept exactly as it is. Add your name, role and company to sign it.

  5. 5

    Write it

Press Write email. In about ten seconds you get the email, three subject lines to choose from, and notes on anything worth checking.

  6. 6

    Make it yours

Edit any word yourself, or ask for it shorter, friendlier, more formal and more. Each email has 3 free changes; your own edits are always free.

  7. 7

    Send it

Copy it, open it in Gmail or your mail app, or press Send to your list to send it from your own account. See Sending to your list.

Write the same email to everyone

Type B

An email with personal fields

One email, with each person's name and details filled in from your list. Choose Email with personal fields.

  1. 1

    Write your news

Fill in the form as for the same email: what it's about, the key facts, who it's for and the style.

  2. 2

    Insert the fields

Use Insert a field to put First name, Company, City or another detail where each person's own value should go.

Keep it to details every row of your list has, or that read well with a fallback.

  3. 3

    Write it

Press Write email. The fields stay as tags in the email, ready to be filled in for each person.

  4. 4

Add your list on the send page

Press Send to your list, then paste or upload your list. Each column's name becomes a detail you can use; you can download a template with the right columns.

  5. 5

    Match your columns

Under Match your columns, pick the column for each field, and a fallback for anyone without it, such as “there” for a missing first name.

  6. 6

Check each person's copy, then send

The preview shows the email one person at a time, exactly as they'll get it. Filling in the details costs nothing more.

Write an email with fields

Type C

A personal email for each person

A separate email for everyone, written from what you know about them. Choose A personal email for each person. Up to 350 people at a time; one credit covers 10 people.

  1. 1

    Write the brief once

Say what you're telling everyone, who they are to you, and the key facts. This is the same for every person. Under Key facts, "Fill from your CV or website" suggests facts about you, such as your degree and projects, for you to pick.

Writing to professors or employers you're applying to? Choose "People you're applying to": everyone then needs a name, and a note or a link about their work, each email opens formally, such as "Dear Dr. Chen,", ends with a line saying how to stop, and they go out at most 50 a day.

  2. 2

    Add your list, with notes

Upload or paste a spreadsheet: one person per row, a header row, and a Notes column (or Comments, or Remarks) with what you know about each person, such as what they bought, asked about or care about. Add a Links column with up to 3 pages about each person's work, such as a professor's profile, their lab page or a paper, and they're read before the email is written: every fact it uses is checked against the page it came from.

People without notes still get an email, written from your brief and their details. Social media and LinkedIn pages aren't read.

  3. 3

    Read the samples

Press Write the samples first. The AI writes 3 sample emails. Read them; if something’s off, change the brief before going on. Rewrite a sample, say shorter, and you’re asked if the others should be written that way too.

  4. 4

    Write the rest

Press Keep writing. The other emails are written in the background; you can close the page and come back.

  5. 5

    Read and approve

Open Read and approve. The emails worth a look come first. Edit any of them, or use the free rewrite (1 per email). When you’re happy, Approve the rest.

Nothing is sent until you approve it.

  6. 6

    Send them

Press Send them: choose the account, send yourself a test as any person, then send. Personal emails go at most 300 a day from one account, and 50 to people you’re applying to.

Sending

Sending to your list

The send page has three steps, the same for types A and B.

  1. 1

    Who gets it

Paste your list, upload a CSV or Excel file, or add people one at a time. Anyone who already got this email is marked and left out, so nobody gets it twice.

  2. 2

    Send from

Pick your email service, then your name, your address and its password. For Gmail, that’s an app password: see Connecting Gmail.

Your password is used only to send, and deleted when the send finishes.

  3. 3

    Check and send

See who it goes to, from which address, and how long it takes. Send yourself a test first, then send.

Set-up, once

Connecting Gmail and other accounts

Gmail, Outlook and Yahoo need an app password: a separate password just for EmailCurator, which you can remove at any time.

Gmail, in four steps

  1. 1

    Turn on 2-Step Verification

In your Google Account, open Security and turn on 2-Step Verification, if it isn't on already.

  2. 2

    Open App passwords

    Go to myaccount.google.com/apppasswords.

  3. 3

    Make one for OpenPromote

Type a name, such as OpenPromote, and create it. Google shows a password of 16 letters.

  4. 4

Paste it on the send page

Choose Gmail under Send from and paste the 16 letters as the App password. The spaces don’t matter.

Outlook

Make an app password in your Microsoft account's security settings.

Yahoo Mail

Account security, then Generate app password.

Hostinger and GoDaddy

Use your mailbox's own password; the server settings are filled in for you.

Any other mail server

Choose Other, and enter the server (SMTP), the port and the security your provider gives you.

After you send

Follow it, stop it, or send again

Sending runs on our servers, so you can close the page. Every send is listed under Sent emails, person by person.

  • Up to 500 emails a day per account

That's Gmail's own daily limit for a personal account, counted across all your sends from that address. Personal emails, one for each person, go at most 300 a day, and 50 a day to people you're applying to.

  • About 12 emails a minute

10 at a time, a few seconds apart, with a short break between, so your provider never sees a burst. 350 people take about 30 minutes.

  • Over the limit? They wait, they don't fail

Anyone past today's 500 goes out automatically as the 24-hour window frees up. If your provider asks to slow down, sending pauses and carries on by itself.

  • Close the page whenever you like

Sending runs on our servers, not in your browser. Follow each send, person by person, under Sent emails.

  • Stop

Stop a send at any time. Those not reached yet stay unsent.

  • Send again

Try again for the people it didn't reach, with one click.

  • Your history

See what you sent, to how many, and when.

  • Give exact dates, prices and links as key facts
  • Read every email before it goes
  • Send yourself a test first
  • Send to people who know you, or people you’re applying to

Help

If something goes wrong

Gmail says the username or password is wrong

Gmail needs an app password, not your normal one. Turn on 2-Step Verification, make an app password (see Connecting Gmail above) and paste its 16 letters. The spaces don't matter.

Gmail blocked the sign-in

Open the Gmail account, look for a security alert about a sign-in, and confirm it was you. Then try the test again.

My emails land in spam

Send only to people who know you and expect to hear from you, or people you're applying to, keep the subject plain (no ALL CAPS or lots of !!!), and send yourself a test first. EmailCurator already checks each email for spam-like words. Emails from a new address can take a few sends to build trust.

The send stopped at the daily limit

That's normal: one account sends up to 500 emails a day (300 for personal emails, 50 to people you're applying to). Anyone past the limit gets it automatically as the 24-hour window frees up. You don't need to do anything.

Some people didn't get it

Open the send under Sent emails: each person shows as sent or not, with the reason. Use Send again to try the ones that didn't get it. Nobody who already got it is sent it twice.
